Privacy Policy

This policy explains what Make a Cover Letter (makeacoverletter.com) collects, why, and the choices you have. It applies to residents of the United States and Canada, where the Service is offered.

What we collect

• Account data: email address, mobile phone number, password (stored hashed by Amazon Cognito; we never see it).
• Content you provide: your resume, the job posting link and its text, and any notes you add.
• Generated output: the cover letter and resume suggestions produced for you.
• Billing data: if you subscribe, Stripe collects your payment card and billing address. We receive only a customer ID, subscription status, and the last four digits of your card.
• Technical data: IP address, browser type, timestamps, and request logs, kept for 14 days for security and debugging.

How we use it

• To provide the Service: your resume, job posting, and notes are sent to Anthropic's Claude API to generate your results.
• To secure your account: one-time passcodes by SMS or authenticator app, and fraud checks on phone numbers at sign-up.
• To enforce plan limits and process payments.
• To respond to support requests and legal obligations.

We do not sell or share your personal information for advertising, do not use your content to train AI models, and do not send marketing messages. Anthropic processes your content under its API terms, which prohibit training on API inputs.

Retention

• Resume files, extracted text, job postings, notes, and generated results: deleted automatically 7 days after creation.
• Monthly usage counters: 60 days. Request and access logs: 14 days.
• Account data: until you delete your account. Billing records: 7 years, as required by tax law (held by Stripe).

Service providers

Amazon Web Services (hosting, authentication, SMS delivery; US-East region), Anthropic (AI generation), and Stripe (payments). Each processes data only on our instructions and under their own security commitments. We do not transfer data to other third parties except when required by law.

Your rights

You can access, correct, export, or delete your data at any time. Delete account in the account menu erases your content, usage history, and login immediately. For anything else, email support@makeacoverletter.com; we respond within 30 days. Residents of California and other states with privacy laws have the rights those laws provide, including to know what we collect and to delete it; we do not sell personal information and do not discriminate for exercising rights. Canadian residents have corresponding rights under PIPEDA. You may also complain to your local privacy regulator.

Security

All traffic is encrypted in transit (TLS 1.2+); data is encrypted at rest. Sign-in requires a password and a second factor. Access to production systems is limited to the operator. No method is perfectly secure; if we learn of a breach affecting your data we will notify you as required by law.

Children

The Service is for adults 18 and over. We do not knowingly collect data from anyone under 18; contact us to have it removed.
